How to spend less time on grassroots club admin

You probably didn't volunteer because you wanted to spend your evenings chasing payments, resending welcome information or trying to remember where the latest version of a form was saved.

Those jobs are part of running a club, but they also have a habit of multiplying. You answer a parent's question about joining, then another family asks the same thing a few days later. You update someone's details, only to realise they also need changing somewhere else. Before you know it, you've spent two hours on jobs that feel strangely familiar because you've done them all before.

Club admin isn't usually overwhelming because it's difficult.

It's overwhelming because it's repetitive.

The good news is that repetitive work is often the easiest kind of work to reduce.

Pay attention to the jobs that keep coming back

Every club has them.

The payment reminders you seem to send every month. The forms that never quite make it back first time. The same questions from new families because they couldn't find the information they needed. The spreadsheet that always needs updating before anyone can answer a simple question.

When the same jobs keep coming back, it's worth asking whether you're solving the problem or just dealing with the symptom.

If you're sending the same email every week, could that information be easier to find? If you’re always checking who's responsible for something, would a clearer process save everyone time?

Small changes like these often have a much bigger impact than you'd expect.

Chasing is what steals your evenings

The admin itself isn't always the problem.

It's everything that happens afterwards.

You send a payment reminder, then check who's paid. You follow up with the people who haven't. Someone replies to say they've already paid, so you check another system before updating your records. A parent asks whether their payment went through because they can't remember.

One task quickly turns into several.

The more your club can reduce the amount of chasing involved in everyday admin, the more time you and other volunteers like you, have for the things that genuinely need a personal touch.

Make it easier to find the right information

Some admin is worth your time

Not every administrative task should disappear.

Welcoming a new family. Supporting another volunteer. Taking the time to answer a sensitive question properly. Those moments matter because they're about people, not paperwork.

The jobs worth reducing are the ones that don't really add value, the repeated reminders, the duplicate data entry, the endless searching for information and the tasks that only exist because that's how they've always been done.

That's where your biggest time savings usually are.

Let your systems do more of the repetitive work

If you find yourself copying information between different systems and spreadsheets, spending evenings chasing payments or pulling together reports by hand, it may be that your club has simply outgrown the way it's managing day-to-day administration.
