Your essential football management end of season checklist

The season might be ending, but this is where some of the most important work begins.
For many clubs, the off-season is where the foundations for next year are set. It’s your opportunity to reflect, reset and put the right plans in place so you can start the new season with confidence.
From reviewing what’s worked, to planning fixtures and securing support, the work doesn’t stop, it just shifts focus.
To help you stay organised and in control, we’ve pulled together a checklist of 10 essential tasks to guide you through the off-season and set your club up for success.
1. Run your AGM with purpose
Your AGM is more than a formality. It’s your opportunity to review the season properly and make informed decisions about what comes next.
Use this time to:
- Review finances and set realistic budgets
- Reflect on what worked and what didn’t
- Identify where time is being lost on admin or inefficiencies
- Explore opportunities such as funding or new systems
The earlier you plan this, the easier it is to get everyone aligned before summer schedules take over.
2. Strengthen your sponsorship approach
Sponsorship plays a key role in keeping your club sustainable, but it works best when it’s approached with intention.
Start by reviewing your current sponsors:
- What value did they get this season?
- How can you demonstrate the impact of their support?
Then look ahead:
- Can you secure agreements earlier for next season?
- Are there new local businesses you could approach?
Often, the strongest opportunities are closer than you think. Parents, local networks and community connections are a great place to start.
3. Review registrations and how you run your club
Before the new season begins, it’s important to make sure your processes are working for you, not slowing you down.
Focus on:
- Completing player registrations and ensuring records are up to date
- Reviewing how you currently manage admin, payments and communication
Ask yourself:
- Is everything running smoothly?
- Where are the bottlenecks?
- What’s taking up the most time?
This is your chance to simplify and improve how your club operates.
4. Prioritise safeguarding and qualifications
Safeguarding isn’t a one-off task, it’s something that should be reviewed regularly.
Use the off-season to:
- Check that all qualifications are up to date
- Arrange any required training for coaches and volunteers
- Reinforce your safeguarding policies and expectations
Creating a safe, well-managed environment builds trust with players, parents and your wider community.

5. Plan player recruitment early
The off-season is the ideal time to think about how you’ll grow your squads.
Consider:
- Hosting trials or open training sessions
- Inviting new players to train with existing teams
- Promoting opportunities through your local community, schools and online channels
Clubs that plan recruitment early are more likely to attract and retain the right players.
6. Get ahead with your team kits
Looking back at the previous season can help you make better decisions for the next.
Ask:
- How often did kit need replacing?
- Are current suppliers meeting your needs?
- Do you need new sponsorship on kits?
Planning early avoids last-minute pressure and ensures everything is ready for the first game.
7. Review and refresh training equipment
Good sessions rely on having the right equipment in place.
Take stock of:
- Essential items like footballs, cones and bibs
- Equipment that needs replacing or upgrading
You might also explore:
- Local donations
- Fundraising initiatives
- Partnerships with local businesses
A small amount of planning here can make a big difference to session quality.
8. Plan your facilities and fixtures
Securing the right pitches and schedules early gives your club stability.
Consider:
- Availability and cost of pitches
- Quality and likelihood of cancellations
- Weather impact, particularly in winter months
Thinking ahead helps you avoid disruption and gives players consistency throughout the season.
9. Re-engage and grow your volunteer team
Volunteers are at the heart of every grassroots club.
Use this time to:
- Recruit for key roles
- Provide training and support
- Recognise and thank existing volunteers
Clubs that invest in their volunteers create stronger, more sustainable foundations.
10. Build a clear fundraising plan
Fundraising is often reactive during the season, but planning ahead gives you more control.
Think about:
- Events you could run
- Sponsorship opportunities
- How you communicate your fundraising efforts
A simple plan helps you stay consistent and avoid last-minute pressure.

Bringing it all together
The off-season isn’t a pause, it’s your chance to reset and get things running more clearly.
A bit of structure now goes a long way. When plans are thought through and everyone knows what’s happening, there’s less last-minute pressure and fewer things slipping through the cracks.
If parts of your club feel harder to manage than they should, it’s often a sign that something needs simplifying. Taking time to review how things run and making a few small changes can make a big difference over the course of a season.
Thrive4 supports clubs in building a clearer, more consistent way of running things, so you can focus your time and energy where it matters most.
