A club at the heart of its community

Chester RUFC has been part of the local community for over a century.

Founded in 1925, the club has grown into one of the most established rugby organisations in Cheshire, now supporting almost 1,300 members across minis, juniors and senior teams. With over 20 teams to manage, it’s a vibrant, busy environment built on volunteers, families and a shared love of the game.

That growth is something the club is proud of. But as numbers increased, so did the complexity behind the scenes.

When growth starts to stretch the club

As the club expanded, the challenge wasn’t attracting members. It was managing everything that came with them.

With so many teams and players, communication became harder to control. Payments needed tracking. Events needed organising. And information was often spread across different places.

What once felt manageable began to feel fragmented, making it harder for volunteers to stay on top of everything and keep the club running smoothly.

The turning point came from creating a more connected and structured way of running the club.

Instead of piecing together information from different places, everything became clearer. Communication could be more targeted, activity easier to track and the overall picture of the club much easier to understand.

With so many teams and age groups, communication is critical.

Now, messages are more relevant, better targeted and easier to manage. Parents are kept informed, players know what’s happening and volunteers spend far less time repeating information or chasing responses.

The difference is not just in how messages are sent, but in how they are received. Communication feels more consistent, more organised and much more effective across the whole club.

Unlocking new opportunities for the club

With a stronger structure in place, the club has been able to do more than just manage its day-to-day activity. It has opened up new ways to engage members and generate income, from merchandise through to events and tours.

This has already had a clear impact as the club generated over £7,000 in additional revenue from merchandise alone, simply by making it easier for members to take part and engage.

That additional income has created new opportunities to reinvest back into the club and continue improving what it offers.

Making large-scale activity feel manageable

Running events across multiple teams can quickly become complex. For Chester RUFC, having a clearer structure in place has made it much easier to organise and deliver activity at scale.

Whether it’s coordinating tours or managing events across different age groups, what once required significant manual effort now feels far more manageable.

That means the club can do more, without adding more pressure on the people running it.

With better visibility across the club, everything now feels more connected and easier to manage.

Information is easier to access, decisions are quicker to make and the club can respond more effectively when needed.
