Growing a 1,300-player club without losing control

A club built on community powered by volunteers

Berkhamsted Raiders CFC is one of Hertfordshire’s leading youth football clubs, supporting over 1,300 players across 96 teams.

But behind those numbers is something more important. A club built on volunteers, families and a shared commitment to creating a positive football environment for young players.

With over 200 volunteers supporting the club, everything from coaching to events relies on people giving up their time to make it happen.

That community has always been the club’s strength. But as it grew, so did the pressure behind the scenes.

When growth starts to create friction

By 2016, the club was expanding quickly. But with that growth came increasing complexity.

Tracking payments was taking more time. Managing a growing database of members became harder to keep accurate. Communication across so many teams and families became more difficult to control.

At the same time, the club was running more activity than ever before. Events, workshops, camps and social evenings were all adding to the workload.

It wasn’t one single issue. It was everything happening at once.

Bringing clarity to a complex club

The biggest shift for Berkhamsted Raiders came when Thrive4Grassroots helped create a more structured and connected way of running the club.

Instead of juggling multiple processes, everything became easier to see and understand. Member information, communication and activity were no longer spread across different places.

That clarity changed how the club operated.

Making communication work at scale

With 96 teams, communication isn’t just important, it’s critical.

Previously, reaching the right people at the right time could be inconsistent. Now, communication is more targeted, more relevant and easier to manage across the whole club.

Parents are better informed. Teams stay aligned. Volunteers don’t have to repeat themselves or chase responses. That consistency has helped the club feel more joined up, even at a large scale.

Unlocking new ways to grow the club

With the right structure in place, the club has been able to expand what it offers beyond just managing teams.

Events, camps and additional activities have become a bigger part of the club’s offering, both for engagement and revenue. This has already delivered real results.

The club generated over £7,000 in additional revenue from merchandise alone, simply by making it easier for members to take part and engage. That income doesn’t just sit there. It gets reinvested back into the club, supporting facilities, development and the overall player experience.

Making large-scale activity feel manageable

Berkhamsted Raiders runs a huge number of events throughout the year. From referee workshops and holiday camps to club dinners and tournaments, the scale of activity is significant.

Previously, organising this kind of activity required a lot of manual coordination. Now, it feels much more manageable.

Whether it’s handling registrations, managing attendance or coordinating logistics, the club can run large-scale activity without placing additional strain on volunteers.

Giving volunteers the support they need

At the heart of Berkhamsted Raiders is its volunteer network.

As the club grew, those volunteers were being asked to manage more and more. Without the right structure, that can quickly become overwhelming.

By simplifying how the club runs behind the scenes, that pressure has been reduced. “The system and team has freed up time to spend managing teams and everything else involved in running a youth football club.”

Volunteers now spend less time on admin and more time supporting players, running sessions and contributing to the community.

Creating a foundation for long-term growth

The most significant change isn’t just in how the club runs today. It’s in what it’s now able to do moving forward.

Since 2016, Berkhamsted Raiders has seen 380% growth in registered players, a reflection of both its success on the pitch and the structure supporting it behind the scenes.

That kind of growth isn’t easy to manage. But with the right foundations in place, it becomes sustainable.
