Programmes built around community impact

Oxford United in the Community delivers programmes, school sessions and holiday camps across Oxfordshire, using football to support young people and local communities.

Much of this work takes place across different locations, with changing groups of participants and a strong emphasis on safeguarding at every stage of delivery.

When the register no longer reflects the session

Registers became one of the main pressure points. As bookings changed, the information being used didn’t always reflect what was actually happening. New participants could be added after registers had been prepared, and updates made over the weekend weren’t always visible when sessions resumed.

This meant going back over information to check names, attendance and details, making sure everything lined up with what was happening on the ground. It wasn’t constant, but it happened often enough to introduce doubt into something that needed to be dependable.

In an environment where safeguarding depends on knowing who is present and accounted for, even small inconsistencies mattered.

When accuracy becomes harder to stay on top of

The challenge wasn’t just about keeping records up to date. It affected how confidently sessions could be delivered, particularly during busy periods such as holiday camps, where there were more participants and more changes to manage.

Registers, customer updates and refunds all added to that pressure. Without a clear and current view, more time was spent checking and confirming details, rather than relying on what was already there.

That created a constant need to revisit information, rather than move forward with it.

Bringing information back in line

With Thrive4 in place, that gap between what was happening and what was recorded began to close. Information now reflects changes as they happen, rather than needing to be checked against something separate.

That shift reduces the need to go back over the same details throughout the day. Instead of working from information that may already be out of date, the team can rely on what they are seeing.

Greater certainty in day-to-day delivery

This change has had a direct impact on how sessions are run. There is less hesitation around whether something needs to be checked again, and fewer interruptions caused by needing to confirm details.

What sits behind that is a simple shift. Being able to trust the information in front of you removes a layer of uncertainty that had become part of the working day.

A more consistent way of working

The programmes themselves haven’t changed. Sessions continue to run across schools, community settings and holiday camps as they always have.

Behind the scenes, though, there is more consistency in how information is managed. There is less backtracking, fewer repeated checks, and fewer situations where something needs to be revisited later.

Across different locations and programmes, things now follow a more stable and predictable pattern.
